The Role

In your role as Quality / Office Administrator, you will provide administrative assistance to key areas of the business to ensure that all office environments operate efficiently. You will be instrumental in supporting the leadership team and each business function with administrative processes, tasks, and documentation, ensuring adherence to the company’s Quality Management System (QMS). Your organisational skills, attention to detail and exceptional communication will be vital to the effective execution of your work.  You will collaborate closely with management and staff to deliver work of the highest quality.

Key Responsibilities

Your key responsibilities will be:

  • Conducting clerical duties, including filing, answering phone calls, responding to emails and sending/receiving packages
  • Assisting in effective recordkeeping in accordance with Ingenuity’s quality management standards
  • Creating awareness and promoting broad compliance to standard operating procedures in line with the QMS
  • Managing and processing all corrective and preventative actions
  • Assisting with coordinating and executing internal company projects
  • Keeping office essentials stocked and available
  • Gathering data through conducting research activities, and market and customer surveys for the various business functions
  • Scheduling meetings, appointments, social events and travel arrangements for members of the company
  • Various PA and administrative duties as required by the Directors from time to time

Minimum Criteria

The following skills and experience are required for this role:

  • Be an Australian citizen, permanent resident or hold a working visa
  • Have proven experience as an office administrator, quality administrator or relevant role
  • Experience in producing professional written content
  • Excellent time management skills
  • Understanding of general business processes, procedures, and functions
  • Excellent verbal and written English communication skills
  • Ability to work independently and as part of a team
  • In depth knowledge of ISO 13485 or ISO 9001 regulatory requirements pertaining to product development

Our Sydney office is located in the Macquarie Park/North Ryde technology area with convenient access by road and public transport.

We provide workplace flexibility by allowing staff to work from home for part of the week.
